HomeHow it works

The whole system, in detail.

Everything the homepage skips. Read as much or as little as you like.

The six parts

Six parts. One system.

You don’t buy tools. You get the outcome. This is what’s running to get you there.

Part 01 · Prospecting

Finding the right people

Companies and decision-makers matching your ideal customer are found automatically in a business contact database, not searched for by hand or copied from a list that goes stale by March.

01

What you seeA steady supply of fresh, correctly-targeted leads.

Part 02 · Research

Knowing enough to be relevant

A bare name and email becomes a picture: what the company does, its size, the person’s role. Where data is thin, we read their own website directly.

02

What you seeOutreach that reads hand-researched, at a volume no researcher could keep up with.

Part 03 · Copywriting

Writing what gets sent

Each first email is drafted from that research, so no two are alike. Then it’s checked automatically for facts, tone and compliance before it sends.

03

What you seeEmails that don’t read as generic or machine-written.

Part 04 · Sending

Getting it delivered

Emails go out from dedicated domains we buy and warm up in advance, paced within safe daily limits, with bounces and spam signals watched closely.

04

What you seeNothing. It’s the invisible layer, and that’s the point.

Part 05 · Handoff

The moment you take over

The system’s whole job is to get a reply. The moment someone answers, their sequence stops. An interested reply is sent to your inbox.

05

What you seeA clean handoff. Never an automated follow-up after they’ve already replied.

Part 06 · List hygiene

Staying legal and polite

Anyone who bounces, unsubscribes or says no is recorded permanently and checked before every send. It can’t be bypassed or reset.

06

What you seeNothing directly. It keeps everything legally sound and your name clean.

Head start

Do it yourself and you wait first.

Start from scratch and new sending domains need weeks of warm-up before they can send at real volume. We buy and warm ours ahead of time, so they’re ready before you need them.

01 — Sourcing

Find the people worth writing to.

Tell us who your best customers are. We match companies and decision-makers against exactly those criteria from a live database, refreshed on a schedule so your list never goes stale in a spreadsheet.

02What we found on their website
About page“Family-run since 1998”
Latest newsOpened a second Leeds depot, August 2026
Careers page3 open roles: 2 drivers, 1 dispatch
The hook worth writing about

They’ve just opened a second depot and are hiring dispatch, so they’re likely scaling capacity faster than the admin side can keep up.

02 — Research

Read their website before writing a word.

For every company, we read their own site (news, careers, about page) and pull out the one detail genuinely worth mentioning.

Where basic company data is thin, we fall back to reading the company’s own site directly. This is the step that separates real personalisation from a mail-merge.

03 — Drafting

Write something they’d actually reply to.

Each email is drafted from that research: short, specific, no jargon.

Every first email is checked automatically for facts, tone and compliance before it sends. This is deliberately the most closely checked part of the whole system.

Subjectsecond Leeds depot

Hi Sarah, Saw Meridian opened a second Leeds depot in August and is now hiring dispatch. When capacity grows that fast, following up new enquiries is usually the first thing to slip. There’s simply nobody free to chase them. That’s the part we’d take off you. Worth a quick call next week? Alex Rowe, Huara

04 — Handoff

Interested replies land with you. Automation stops.

The moment someone answers, their sequence stops. An interested reply is sent to your inbox. You pick up the conversation, on a call, your way.

A second automated email landing after someone has already replied is the fastest way to make them regret responding, so the system is built to make that impossible.

Where these numbers come from: Instantly’s 2026 Cold Email Benchmark Report, covering cold emails sent from 1 January to 18 December 2025, puts the average reply rate at 3.43% of emails sent, and 5.5% for the top quarter of senders. We’ve used 2.5% of the people contacted to stay cautious. What you actually get depends on your market, offer and price point, so treat this as a guide, not a guarantee.
